OVERVIEW

Under general supervision, perform a wide variety of highly complex clerical duties with considerable latitude for independent judgment, and prepare data processing source documents for transmission to the student information system; related work as required.

QUALIFICATION
  • A.A. degree or equivalent required
  • Three years of broad and varied clerical experience
  • ┬čKeyboard at a minimum rate of 50 words per minute from ordinary transcript or printed material
  • Satisfactory work history
  • Successful experience demonstrating tact, courtesy, positive attitude and maintaining cooperative relationships with those contacted during the course of work
  • Completion of current First Aid and CPR courses
  • Spanish desirable.
RESPONSIBILITIES/DUTIES
  • Work with school staff preparing input documents
  • Work with and prepare information for the department to ensure that all records in the Student Information System are accurate and current
  • Work with the public, answering questions involving an understanding of policies, procedures, and regulations
  • Act as receptionist, making appointments, arranging group meetings, and transmitting confidential or controversial information; compile reports from a wide variety of sources, and transmit to other offices or agencies
  • Schedule appointments for manager and staff
  • Compose routine correspondence and forms, independently or from brief notes or oral instructions, using Microsoft Word or Works, Excel and other spreadsheet/database software
  • Set up and maintain files and records
  • Learn and interpret specific rules, laws, and policies and apply them with good judgment
  • Perform procedures required to prepare a variety of data processing input documents necessary to maintain accurate school records
  • Compose correspondence and carry out general directions independently
  • Deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise and firmness
  • Keyboard at a speed of not less than 50 words per minute
  • Maintain cooperative relationships with those contacted during the course of work
KNOWLEDGE, SKILLS & ABILITIES
  • Knowledge of School District policy, rules and regulations;
  • Office management practices, including filing systems, receptionist and telephone techniques, and operation of modern office equipment;
  • Microsoft Word, Excel, Power; SCCOE SIM Systems, District SIMS and data processing procedures used to maintain a variety of school records;
  • English usage, spelling, grammar and punctuation;
  • Ability to make arithmetical calculations quickly and accurately;
  • Skill on a variety of computer applications, including word processing, database, spreadsheet, and communication software;
  • Analyze situations accurately and adopt an effective course of action.
